As an Estimating Administrator in the construction industry, your role is pivotal in the bid preparation and project estimation process. You will be responsible for filtering leads, sorting bid invites, performing takeoffs, creating estimates, sending quotes, and supporting the Sales & Operations team. Your analytical skills will be essential in utilizing software for data analysis, forecasting, and budgeting. Additionally, you will play a key role in the RFI (Request for Information), submittal, and tracking process.
Responsibilities
- Manage and filter incoming bid opportunities to prioritize those aligned with organizational goals and capabilities.
- Collaborate with the estimating team to decide on bid/no-bid strategies.
- Collaborate with the Sales and Operations teams to provide necessary information and support during the bidding and project initiation phases.
- Assist in coordinating pre-construction meetings and site visits.
- Utilize construction plans and specifications to perform accurate takeoffs of materials and labor required for projects.
- Collaborate with project managers and engineers to ensure comprehensive takeoffs.
- Generate detailed and accurate project estimates based on takeoffs, labor costs, material prices, and other relevant factors.
- Ensure that estimates align with organizational standards and client requirements.
- Prepare and send comprehensive quotes to clients, subcontractors, and other stakeholders.
- Coordinate with the Sales team to ensure timely and professional submission of quotes.
- Conduct follow-up communications to determine the reasons for quote wins or losses.
- Gather feedback from clients and internal teams to improve future estimating processes.
- Leverage estimating software and other tools for data analysis, forecasting project costs, and budgeting.
- Provide insights and recommendations based on the analysis of historical data and current market conditions.
- Manage the process of submitting RFIs to architects, engineers, and clients to clarify project specifications.
- Track and document RFI responses, ensuring clarity and compliance with project requirements
Requirements:
- Knowledgeable in using Takeoff Software (ex. Bluebeam, Planswift, Stack Estimating)
- Knowledgeable in using Construction/Bidding Platforms (ex. Construct Connect, Procore, Building Connected, Buildertrend)
- 3+ years of related experience or relevant coursework
- 3+ years of experience using GSuite (Google Calendar, Google Docs, Google Sheets, etc.)
- Strong communication skills, both written and verbal
- Strong attention to detail and organizational skills
- Experience using HubSpot or similar CRM (preferred)
- Experience using Slack and ClickUp (preferred)
- Willing to work US day-shift (approx. 8:00 a.m. to 5:00 p.m. EST)
- English language fluency
